Who we are and what this policy covers
This policy explains what personal information FieldDone collects through its websites and products, including FieldDone Check, and how we use it. FieldDone is a division of Storyopolis Ventures LLC. In this policy, "we", "us" and "our" mean FieldDone.
By using our websites or products, you agree to this policy. It forms part of our Terms of Service.
Information we collect
- Account details: your name, email address and password. Passwords are stored in scrambled (hashed) form, and we cannot read them.
- Payment details: payments are handled by our payment processor, Stripe. We receive your name, email address and a record of what you bought. We never see or store your full card number.
- What you enter: details of the items you inspect (for example year, make, model, mileage, VIN or serial number, and asking price), and the seller's name, phone number and address if you enter them.
- Inspection records: your answers, notes, photos and documents, and the dates and times an inspection was started and submitted.
- Location: when an inspection starts and when it is submitted, we ask your device for its location, so the report can show where the inspection took place. Your device asks your permission first, and you can say no; the inspection still works.
- People you send work to: if you send an inspection link to someone, we keep the name, email address or phone number you give us for them, and record when they open the link and submit the inspection.
- Messages: emails and requests you send to support, including any files you attach.
- Technical information: small files (cookies) that keep you signed in and remember settings, and the basic records our servers keep, such as your browser type and when pages were requested. We also use Google's advertising tag, which places cookies so Google Ads can tell us which of our ads led to a visit or a purchase. It does not receive your inspection information. You can limit ad personalization in your Google account settings or block these cookies in your browser.
Some FieldDone products may also collect content you upload, such as documents or audio recordings, to provide that product.
How we use it
- To provide our products: setting up your account, giving you access to what you bought, saving your inspections, and producing reports and comparisons.
- To send the emails the service needs, such as purchase confirmations, password reset links, and notices when an inspection you sent is completed.
- To answer support requests and keep the service secure, including preventing misuse of our checklists.
- To improve our checklists and create benchmark data. For this we use inspection information only in anonymous, combined form, with names, contact details, VINs, serial numbers and exact locations removed. At most a broad region, such as a state or province, is kept.
- To meet our legal obligations.
We may show a finished report as a sample on our website only after removing the seller's details and anything else that identifies you, the seller or the vehicle.
Who we share it with
We do not sell your personal information.
We share it only:
- With the service providers that run our products for us, such as our hosting, database and file storage providers, our payment processor (Stripe) and our email provider. They may use it only to provide their service to us. Some FieldDone products also use artificial intelligence providers to produce answers.
- With Google, for advertising measurement. When you buy, we tell Google Ads the order number and amount, so we can see which ads work. We do not send your name, email address or inspection details.
- With inspectors, when you ask for one. If you request a local inspector, we send your request to an inspector who serves that area. Once they accept, they receive your name and contact details, and you receive theirs.
- With people you choose. When you send an inspection link, the person receives the item's description, its details, where it is and the seller contact details you entered, so they can find it and inspect it. The asking price is not shown to them. A report goes to whoever you share it with.
- When the law requires it, or to protect our rights, our customers or the public.
- If FieldDone or its products are sold or transferred, in which case this policy continues to apply to your information.
Your choices and other details
- Seller information. If you enter a seller's details, make sure you are entitled to record them, and enter only what you need for the inspection.
- How long we keep it. We keep your information while your account is open and for a reasonable time afterwards, to meet legal and accounting obligations and to settle disputes. Anonymous, combined data used for benchmarks may be kept longer.
- Access, correction and deletion. You can ask to see, correct or delete your information by emailing support@fielddone.com. Depending on where you live, you may have further rights under local law, and we will honour them.
- Security. We use reasonable safeguards, including encrypted connections and access controls, to protect your information. No system is completely secure.
- Children. Our products are for adults and businesses, and are not meant for anyone under 18.
- Where it is stored. Our providers may store and process information in the United States and other countries.
- Changes. We may update this policy. The current version is always on this page, with the date it was last changed.
